How much does the health fund refund?
Every Belgian health fund — mutualité in French, ziekenfonds in Dutch — refunds part of its members' sports subscription. The order of magnitude is €50 per person per year, often double for a child.
Amounts and conditions differ from one fund to the next, and from one year to the next. Solidaris Brabant, for instance, stops at €45. The form your member received is what counts: this page does not replace it, it explains what is being asked of you.
Who fills in what?
The form has two halves, and they do not mix.
The member fills in theirs: affiliation number, sticker, and the national register number their fund asks for. That half is none of your business.
The club fills in the other, and it is almost always the same:
- the name of the association and its address
- the sport practised
- the amount the member actually paid
- the period that subscription covers
- the club's stamp and a signature
None of it is hard. What is hard is doing it forty times, often months after the request, looking up each time who paid how much and when. That is why many members never get their money: the step is painful on both sides, so it does not happen.
Should you ask for the national register number?
No, and this matters: do not ask for it.
The fund asks for it on the half the member fills in personally. It already holds that number anyway — the person is one of its own members. A club that starts collecting national register numbers processes data the GDPR tightly regulates, with no use for it — and which, in Belgium, is subject to a ministerial authorisation it must hold. So our tool offers no field for it.
A form comes back to you without it? Not your problem: the member completes it before sending.
Every fund asks for something different
There is no single form. The twenty-two the tool knows, from Wallonia, Brussels and Flanders, resemble each other without ever lining up:
- Mutualité chrétienne is the only one asking for the payment date on top of the period
- Solidaris Wallonie is the only one asking for the club's phone number
- Solidaris Brabant is the only one asking for the date of birth, and refunds €45
- Partenamut is the only one asking for the federation, and is filled in box by box
- Mutualité Neutre wants to know how the payment arrived
- Helan, Mutualia, MUTPLUS.be and Mutualité Socialiste du Luxembourg — the Belgian province, not the grand duchy — keep to the essentials
The tool recognises a form by its layout, not by the name printed on it. CM Vlaanderen, Helan, Solidaris in the four Flemish provinces, the Vlaams & Neutraal Ziekenfonds, LM Plus and Mutualia are included. An edition the tool does not know yet has a different layout and is therefore refused — refused, not filled in crookedly, and that is deliberate: better nothing than a document the fund rejects months later, to your member rather than to us. If your fund’s form is missing, tell us.
And if the subscription is not fully paid?
The form carries a sentence along the lines of “certifies that the sum of … has been paid”. That is not signed for a deposit: it is a declaration, not a statement of account.
Until the subscription is settled, the certificate waits. A cash payment or a waiver granted by the committee counts as payment — provided they are written down somewhere, otherwise nobody will find them next year.
The member who joined mid-season
What goes on the form is the amount actually paid, not the published rate. Someone who joined in January and paid a pro-rated subscription declares what they transferred, and the period they covered. Writing the full rate would be a false declaration signed by the club.
How we do it
A reconciled subscription already knows everything the form asks for. The club signs once, in its settings, and never returns to it.
Frequently asked questions
- Is the member's own form better?
- Yes, always. It already carries their affiliation number, their sticker and the barcode of their file — three things a blank form does not have and that they would otherwise copy by hand.
- Must the club sign each form by hand?
- A health fund refuses an unsigned document, so the signature must be there. It is uploaded once in the club's settings and then placed on every certificate. Only a club administrator can view it, and the screen shows it struck through with a “specimen” mark.
- Do we have to wait for the end of the season?
- No. As soon as a subscription is settled, the certificate can be issued for the period it covers. Funds have their own submission deadlines: that is the only calendar that counts, and it is printed on your member's form.
- What about members who never ask?
- They are the majority, and that is exactly where the gain sits: once the document comes out in one click from the member's own space, claiming it stops being a favour people hesitate to ask of the secretary.
